Grant Business Specialist

As our Grants Specialist, you will lead the design, implementation, and tracking of grant activities under the Director of Community Health, assisting funders in achieving public health initiatives. You will identify and implement significant operating efficiencies for optimal grant fund utilization, collaborating with a multi-disciplinary team for program referrals.Every day you will manage grant projects, focusing on improving efficiency, cost-effectiveness, and quality of operations through project work, consultation, training, and reporting. Your expertise will be vital in navigating the complexities of grant program management.To be successful in this role, you will possess a broad understanding of grant management principles, including organizational management, outcome measurement, and budgetary oversight, coupled with outstanding problem-solving skills and a strong background in managing complex projects within tight deadlines. You will also serve as the resident expert in your grant program, continuously updating your knowledge through education and networking.

• Proper Grant expenditures (30%) Work with Accounting, Philanthropy Operations, and other departments to ensure the grant awards and payments are properly processed; providing technical guidance for appropriate financial tracking and reporting. Review all grant expenditures for accuracy, appropriate supporting documentation, and compliance with grant/contract requirements and all appropriate laws and regulations prior to reimbursement requests.
• Reporting and Invoicing (30%) Responsible for ensuring that all grant/contract reporting, and invoicing deadlines are met by maintaining a comprehensive deadlines reminder system and notify proper staff of pending report and activities deadlines, confirming that all reports are filed correctly and on time. Prepare timely and accurate financial reports for each award as required by the individual award letter or contract. Provide grant leaders with regular budget vs. expenditures reports, working with them to plan future grant/contract expenditure activities in order to maximize efficient use of funding.
• Grant/Contract set up and closing (20%) Provide technical guidance to System, Division and local staff in relation to the administration of grants and contracts, including, but not limited to, aiding with interpreting grant agreements and contracts, and reviewing federal regulations, and developing processes for reporting and reimbursement, budget revisions, personnel and scope changes, determination of grant/contract personnel roles and responsibilities, and grant administration training/retraining for all appropriate grant staff. Coordinate and facilitate grant kick-off meetings for new awards; providing educational in-services, workflow determination, budget summaries, and setting roles and responsibilities for all new grants or contracts awarded to CommonSpirit Health philanthropy or supporting entities.
• Audit (15%) Maintain complete electronic auditable files including detailed financial records for each grant/contract, ensuring that files are accurate and available in a timely manner upon request. Participate in audits, including but not limited to, single audits and grantor site visit; acting as a resource as necessary.
• Other duties as assigned (5%) Available to work on other duties as assigned that may arise from time to time.

Required

• Bachelors Other in Business-related, Accounting, Finance or or related field, or three to five years of grant related financial management experience and
• A minimum of three years successful professional experience in grant/contract accounting or management with federal, state, and private funding

Preferred

• Experience preferably working within a complex Hospital system, with multiple facilities or entities to support.
