About The Position

Digital Promise’s Learning Sciences Research (LSR) team focuses on the why, what, and how of learning in and out of school. The LSR team has developed a growing portfolio of research projects that includes basic research on learning, curriculum design, teacher support, and research on emerging learning technologies. Our diverse team is committed to excellence, collaboration, and making a significant impact on the practice and policies of teaching and learning.

We are seeking a detail-oriented and organized Part-Time Budget Coordinator / Program Assistant to support various financial, operational, and administrative functions within our organization. This is a part-time, hourly position with a maximum of 30 hours per week, averaging 10-20 hours a week regularly. It is structured as a one-year contract with the potential for annual renewal based on performance and funding. The role involves managing contracts, tracking budgets, and coordinating communications with external partners, all with an emphasis on accuracy, efficiency, and professionalism.

Responsibilities

Financial and Budget Management

  • Coordinate financial management with external individuals and organizations, including contracts, payables, and budget tracking.
  • Track and maintain records of project expenses, and contractor payments, ensuring accurate and timely updates.
  • Review and approve incoming reimbursements, invoices, and other financial documents.
  • Reconcile credit card statements, focusing on project-related purchases and gift card distributions.
  • Manage purchases for external partners, such as materials for school districts and teacher professional development (PD).
  • Assist the Financial Manager in developing and tracking budgets for team operations and grant proposals.


Contract and Invoice Management

  • Prepare, review, and manage contracts, Memoranda of Understanding (MOUs), and other formal agreements.
  • Process invoices for contractors and ensure timely payments.
  • Coordinate travel arrangements and reimbursements for contractors and convening participants, tracking expenses related to project needs.


External Relations and Communication

  • Build and maintain strong relationships with external partners to facilitate positive, professional interactions.
  • Proactively manage issues related to payment process and timing, and other financial matters, coordinating with the Financial Manager as needed.
  • Support professional outreach efforts to strengthen relationships with external partners.


Data Management and Compliance

  • Maintain accurate records of financial activities, contracts, and sensitive information following federal guidelines and best practices.
  • Use Salesforce to manage and track data related to financial, operational, and organizational impact tracking activities.


Administrative Support

  • Provide administrative support, including event planning, calendar scheduling, and logistics coordination.
  • Organize research-related materials, ensuring compliance with internal guidelines.
  • Format and edit reports and resources according to APA style (preferred).


Qualifications

  • Required: Associate’s or Bachelor’s degree in Finance, Business Administration, Economics, or a related field, or equivalent experience.
  • Experience: Minimum of 2 years in budget coordination, financial administration, administrative assistant, operations management, or a similar role.
  • Technical Skills: Proficient in Excel, Google Sheets, and Salesforce.
  • Skills: Strong attention to detail, excellent communication skills, and the ability to handle sensitive information with discretion.
  • Preferred: Familiarity with APA format and experience with federal and philanthropic grant processes.

Working Conditions

Digital Promise Global is a hybrid organization. Employees are expected to travel at least 4 times a year for in-person meetings and the annual staff retreat. Additional travel may be required based on role and responsibilities.

Compensation

  • Hours: Part-time, up to 30 hours per week, averaging 10-20 hours a week regularly
  • Contract Duration: One-year contract with the possibility of annual renewal based on performance and funding.
  • Compensation: $30 - $35 Hour, commensurate with experience.
