This position manages and executes the Foundation's grantmaking process, ensuring accurate and efficient administration across all phases—from proposal announcements to submissions, expert reviews, contracts, progress reports, and close-out. The Grants Manager is a detail-oriented project manager skilled at coordinating multiple projects and proficient in database management. This role involves engaging with research investigators and staying updated on developments in canine health science. The primary responsibility is to ensure smooth grant and contract management, supporting the effective implementation of the Foundation's scientific program.

A strong knowledge of companion animal health issues and a passion for dogs are highly desired, along with a strong commitment to advancing canine health by supporting the Foundation’s mission.

*This position is a hybrid role working in our Raleigh, NC office.

 

 

 

Primary Job Duties

GRANTS ADMINISTRATION & MANAGEMENT (75%)

  • Manage the Foundation’s grant database (Blackbaud Grantmaking), ensuring accuracy, efficiency, and compliance.
  • Oversee the external grant application process including application intake, contract development, distribution of requests for proposals to the research community, coordination of application review, and facilitation of external peer reviews.
  • Coordinate grantee reporting by sending reminders for scientific progress and final report, reviewing and compiling reports, and tracking submission metrics.
  • Process grant requirements, payments, amendments, and extensions while interpreting scientific needs to ensure smooth and compliant execution.
  • Track study publications, presentations, and outcomes, and share relevant information with Programs and other CHF departments as needed.
  • Screen research protocols to assess eligibility and compliance with the Foundation's scientific direction, escalating to leadership or relevant committees when necessary.
  • Coordinate and prepare for Scientific Review Committee (SRC), panel, or other review meetings, managing all post-meeting tasks.
  • Collaborate with leadership and team members to support program outreach by curating scientific and promotional materials, and providing program analysis to inform communications and outreach when applicable.
  • Support outreach by maintaining grant progress reports, updating grant webpages, and managing the Foundation’s Research Grants Portfolio per SOPs.

GRANTEE RELATIONS (15%)

  • Serve as a primary point of contact for scientific investigators and grantee institutions, providing timely assistance and superior customer service throughout the grant lifecycle to foster strong relationships to ensure clear communication and compliance.

OTHER (10%)

  • Assist with various projects and organizational initiatives as needed; support phone, web, & email inquiries.

Qualifications Experience Required

Experience in managing multiple projects simultaneously

Project management experience

Experience with database entry, maintenance and reporting

Preferred

Experience in a nonprofit environment highly preferred

Experience in a scientific grant-making environment highly preferred
